Selling by weight

How to set up a weighed product, tare and scale labels in KupaLi, and sell by the kg or per 100 g.

Selling by weight is included in Smart POS. For a product sold by weight, the amount is calculated by net weight: the goods without the packaging. Before the first sale, set up the product and choose how the weight reaches the register: a direct connection, a scale label or manual entry.

Setting up a product sold by weight

Go to Back Office → Products → Settings and open the product details. In Sold by choose Weight, choose a Unit of measure and enter a Suggested price for that unit. In KupaLi you can choose kg or grams. Display per changes the price basis shown, without changing the unit you enter the price in on the product card.

  • PLU is the short code for looking up produce. Scale item number is the number that identifies the product inside the scale label; keep any leading zeros.
  • Tare grams is the product's fixed tare. Minimum weight grams, Maximum weight grams and Weight precision grams set the range and the weight step the product accepts. The device's own division is set separately at the register.
  • Scale label text sets the name to print; if the field is empty, the product name is printed. Shelf life days sets the gap from the packed date to the last sale date shown on the label.
  • Catch weight — count pieces, price by weight lets you enter a number of pieces together with one net weight for all of them. The product's stock balance is kept in grams in this mode too.
  • In Names in other languages you can enter names for the same product. Save, find it at the register and check the unit of measure and the price before you start selling.

When you change an existing product from units to weight or back, and it already has stock, Convert existing stock opens. Enter Grams per unit, check the conversion and only then click Convert and save. Reset stock to zero resets the balances; it isn't a way to change the unit of measure.

Choosing a scale and connecting it to the register

You can work in three ways: a scale connected to the register; a counter scale that prints a label to scan; or a separate scale whose reading you type in at the register. Scanning a label doesn't need a direct connection to the scale that printed it. On iPad and iPhone the system has no checkout scale connection; work with labels or manual entry, if it's allowed at the station.

At the register, open Printer → Checkout scale. Under Scale connections on this device you see which connections are available: Web Serial scale when the browser allows it over a secure connection; Bluetooth scale module (Nordic UART) for the documented external adapter; or USB scale through the app over a CDC-ACM connection in the Android app. Chrome on a Windows computer may offer a Web Serial connection; on Android, availability depends on what the browser actually offers. A USB port or a Bluetooth icon alone doesn't show compatibility.

Choose Scale driver, Scale connection and, if shown, Scale protocol mode. Match Scale baud rate, Scale division (grams) and Scale unit to the device and its connection instructions. Click Connect scale, choose the port or adapter and save. The setting is saved at this station. In Live scale diagnostics you see the Last 50 frames and parsed values; Copy scale diagnostics copies the information for support. Before changing the connection, click Disconnect scale.

The protocol list includes NCI / 8217, including ECR and PBS, as well as Mettler Toledo SICS, CAS ECR, DIGI DS and a configured ASCII template. A Shekel connection uses NCI mode only if the device offers it. All models are on the Supported hardware page. You can send support the model, cable and firmware version for checking.

Tare and saved container weights

Tare is the weight of the empty container. The weighing panel first shows the Product tare. For containers you use again and again, go to Locations → Barcodes and weighing → Weighing and packaging, click Add tare preset, fill in Tare preset name and Tare grams, and click Save weighing settings. The container names appear as buttons in the weighing panel.

For a different container, enter Manual tare (grams) and click Apply tare while the scale is at zero. The maximum is set in the Maximum manual tare grams field in the back office. When the protocol allows it, Zero scale and Tare scale send a command to the device; check the next reading to see the result. If the device already sends net weight, make sure the same container isn't deducted again at the register.

Scale labels and barcode testing

In Locations → Barcodes and weighing choose a Preset, click Add profile, set prefixes and tick Enable profile. Match the layout to the scale's barcode instructions and click Save barcode settings. In Edit field positions, counting starts from zero; Label value sets whether price or weight is encoded, and Weight unit on label belongs to a weight profile.

In Live barcode tester, scan or type the whole code in the Label barcode field and click Test saved layouts. The result Layout matched; product not mapped means the code was decoded, but you need to link the item number to a product: update Scale item number on the product card, or use Map to product at the register with product management permission and an online login to the back office. If No saved layout matched this barcode. appears, check the active profile and the prefixes. Support details shows the full test result. The test uses catalog prices; the register uses the price list that applies at the branch.

Use the label price keeps the amount from a price label; for a label that encodes weight, the price is calculated at the register. For a price label, the weight is calculated back from the unit price, so after a price change it may differ from the printed weight. Maximum label age in days checks age only if the barcode has a Packed date field; a date printed next to it isn't enough.

Pre-packing and printing labels

Open Products → Scale label / Pre-pack, choose a branch and a product sold by weight. Click Connect saved scale and then Use stable reading, or fill in Net weight in grams. On this screen you enter net weight in grams. Fill in Tare grams separately, without deducting it again, set the Packed date and click Preview scale label.

Choose a Label preset, or go to Edit label presets to match the paper in the printer. Click Print scale label, check that the label printed, and only then choose Record pre-pack if you want to record the packing action. Recording requires stock tracking and stock permission. Packing doesn't change the stock balance; the later sale reduces it. Pre-packing requires an active price profile and the Use the label price option.

For a shelf label, in Labels & Price Tags choose Label template → Shelf label with unit price. In KupaLi the price per kg is printed; Also show price per 100 g adds an extra line. You make a scale label in Scale label / Pre-pack, where the net weight of the packed product is known.

For a scale that prints at the counter, in Locations → Settings → Scales choose Label scale vendor and use Download PLUs. There are import mappings for CAS, DIGI and Dibal; import in the vendor's software on the store computer and check a printed label with the barcode tester. Direct PLU push doesn't currently run a network transfer; Push PLUs (unavailable) shows the limitation. Downloading alone doesn't clear PLUs need updating and doesn't show that the file reached the scale.

Selling at the register

Search for the product by name or PLU and tap it to open the weighing panel. Check the container, place the goods and wait for the confirmation sign and the Weight locked message. The register accepts a current reading, greater than zero and within the range set for the product, after it has stayed stable for half a second. When Automatically accept a held stable weight is on, the item is added to the cart; otherwise tap Accept weight. Clear the weighing platform before the next item.

If Allow manual weight entry is on at the station, tap Manual weight entry, fill in Net weight (grams) and tap Accept weight. The weight source is saved as manual entry; it's printed on the receipt only if that print option is on. For a catch-weight product, also enter Pieces for the total weight. To reweigh, tap the weight on the cart line. Check the net weight, unit price and line total, then go to Charge; the data also appears on the receipt and on the connected customer display once the weight is captured.

Returning part of the weight

Open Receipts, find the transaction and tap Refund. In the Return / Exchange panel, weighed items are already selected to return all the remaining weight. Using the check or plus button next to the item (Return this weighed line), leave only the returning items selected, and check Returnable weight. A manager with permission to change the weight enters the returned portion in the Return weight (grams) field. For a catch-weight product, also check Pieces returned. Choose Back to stock for goods going back on the shelf, or Damaged — write off for goods that won't be sold again. Check Refund to before confirming the refund. The calculation is based on the price in the original transaction; you can't return more than the weight left on the line, and a return requires a network connection.

Stock, counts, losses and yield

Meat, cheese and bread sold by weight are managed in stock in grams; bread sold by the unit keeps being counted in units. On the product card, Stock grams and Minimum stock grams take grams. In Inventory → Management, Daily Count, Transfers, Testers and Losses and Purchase order, enter the quantity in the weight unit shown next to the field. The stock log keeps the quantity in grams. For a batch-managed product, the batch code and expiry date are saved too.

For cutting or production, open Inventory → Yield. Choose the Input product and Input weight, add an Output product and Output weight for each cut or batch, and check the Loss weight (calculated) before Record yield. The loss is the difference between the input and the outputs; there's no separate field to enter loss. The action requires a layered stock costing method, such as FIFO or average; the link on the screen goes to the stock settings. Record goods that were thrown out or spoiled in Testers and Losses, without changing the weight in a transaction already sold.

Reports and verification reminders

In Products → Products Report, Sold weight is shown separately from the unit count. Choose a branch and period before comparing the products report, stock history and the End of Day Report. On the receipt you can check the net weight, unit price and total of each line.

In Locations → Settings → Scales, Add scale saves Make, Model, Serial number, Scale division grams, Scale capacity grams, Verification date and Verification due. In Barcodes and weighing → Weighing and packaging you'll find the Verification reminders option. The daily check sends an alert to the operations inbox in the 30 days before the date entered, and also if the date has already passed, and points to the branch settings. This is a reminder based on your business data, not a check of the device or confirmation that verification was done.

What the software doesn't do

KupaLi doesn't calibrate weighing devices, doesn't verify them and doesn't certify them. Your scale supplier handles setup and service for the device; information about the verification process is available from the Weights and Measures Division at the Ministry of Economy and Industry.

Inspections and official sources

An inspection may check the unit price, net weight and line total on the receipt, a device with valid verification and correct tare handling. The register records the sale data and the tare weight, when it isn't zero, on the receipt; device details and dates are saved in Scales. Verification of the scale itself is done with the scale supplier and the Weights and Measures Division.

In Israel the terms are model approval and verification mark, under the Weights and Measures Ordinance, 1947 and its regulations. Information on the process is available from the Weights and Measures Division at the Ministry of Economy and Industry and on the verification service page.
